Parents and Friends

The aims of the P & F as set out in the Mission Statement are as follows:
- To aid the School Government in the fulfilment of its vision for the school.
- To raise funds to enable sporting, recreational and other educational facilities to be improved.
- To provide a forum for information distribution on matters affecting the school as a whole
- To encourage participation and input by parents in the school
- To increase awareness of the school, it's goals and successes within the wider community
Membership is open to all parents of enrolled students and also to any other persons committed to the goals of Christian education as expressed by the school, which are nominated by a member and accepted by the majority of the existing Committee members.

CONSTITUTION
- NAME
The name of this group shall be Calvary Christian Colleges Parents and Friends.
- AIMS
The aims of this group are set out in the mission statement below:
- MISSION STATEMENT
The aims and motivation of the Calvary Christian Colleges Parents and Friends shall be as follows:
- To aid the School Government in the fulfilment of its vision for the school.
- To raise funds to enable sporting, recreational and other educational facilities to be improved.
- To provide a forum for information distribution on matters affecting the school as a whole.
- To encourage participation and input by parents in the school
- To increase awareness of the school, its goals and successes within the wider community.
- MEMBERSHIP
- The membership of Calvary Christian Colleges Parents and Friends shall be comprised of:
- All parents of enrolled students at Calvary Christian Colleges.
- Any other person committed to the goals of Christian education as expressed by the school that are nominated by a member and accepted by the majority of the existing Committee members.
And shall be open to :
- A person will be dropped from membership if:
- They have a change of circumstance, which disqualifies them or
- They clearly demonstrate that they are not supportive of the aims and objectives of the Calvary Christian Colleges Parents and Friends Mission Statement and frustrate the efforts of the elected committee.
- Procedures for the withdrawal of membership are as follows:
- Membership will only be withdrawn after a vote carried by the majority of the committee members.
- Anyone who has had membership withdrawn may appeal to the membership. Membership will be restored in the event that a majority of the membership votes accordingly.
- The membership of Calvary Christian Colleges Parents and Friends shall be comprised of:
- MEETINGS
- General Meetings
Meetings of the Calvary Christian Colleges Parents and Friends will be open meetings and shall be held on the 3rd Monday monthly during school terms (not on public holidays or pupil free days) or as determined by the committee.
- Committee Meetings
Meetings of the elected Committee of the Calvary Christian Colleges Parents and Friends will be closed meetings and shall be held at least one week prior to the General Meetings, or at a date as otherwise pre determined by the Committee. The Committee may request persons to attend from time to time to expedite the decision making process.
- Annual General Meeting
Annual General Meetings of the Calvary Christian Colleges Parents and Friends will be open meetings and will be held on the 3rd Monday in September or at such time as determined by the committee. The format of the Annual General Meeting shall be as follows:
- A report by the chairperson on the activities of the Calvary Christian Colleges Parents and Friends.
- The presentation of the Financial Report by the Treasurer.
- The nomination of an auditor.
- The election of Office bearers and Committee members.
- Alterations to the Constitution or any other business previously advised in writing to the Committee at least one month prior to the Annual General Meeting.
- In the event of the absence of the Chairperson at any meeting, the meeting will be chaired by an Office Bearer or Committee member nominated by the Chairperson.
- General Meetings
- STRUCTURE
- The Committee of the Calvary Christian Colleges Parents and Friends shall be structured as follows:
A Chairperson, whose responsibilities are to run each meeting effectively and to carry out tasks requested by the Calvary Christian Colleges Parents and Friends.
A Secretary, whose responsibilities include taking, reading and distributing all minutes of meetings, agenda and other tasks requested by the Calvary Christian Colleges Parents and Friends.
A Treasurer, who will take charge of all monies, bank money, make payments and report on the financial situation of the Calvary Christian Colleges Parents and Friends as directed by the Committee. The books will be audited each year by an appointed auditor.
Six (6) Committee Members whose duties are to carry out tasks as requested by the Calvary Christian Colleges Parents and Friends.
- The Committee Members and Office Bearers shall be elected for a period of one calendar year, with the exception of the Chairperson, who shall be elected for 2 calendar years to ensure continuity of vision and administration.
- All Committee Members and Office Bearers will have full voting rights. A quorum for Committee meetings shall be five persons, two of whom must be Office Bearers.
- Office Bearers and Committee Members will be required to stand down if they fail to attend 3 consecutive Committee Meetings.
- In the event of the withdrawal or suspension of an Office Bearer this position will be filled by a Committee Member. In the event of the withdrawal or suspension of a Committee member the Committee shall fill the position from the membership.
- The Committee of the Calvary Christian Colleges Parents and Friends shall be structured as follows:
- NOMINATIONS & ELECTIONS
- Nominations for Committee Members and Office Bearers shall be submitted in writing, with the consent of the nominee, to the Annual General Meeting. Nomination forms will be available three weeks prior to the Annual General Meeting. Names of the nominees will be made available to the members through the school office.
- Elections for the Committee Members and Office Bearers shall take place at the Annual General Meeting.
- Voting shall be open to those members present at the Annual General Meeting only and shall be by secret ballot
- Office Bearers will be elected by majority vote of the members present.
- Committee Members will be elected from those nominees receiving the most votes in the ballot.
- In the event of a tied election, then another ballot will be held with only the names of the tied nominees being considered. If after a second ballot the voting is still tied the School Board will have the casting vote.
- ALTERATIONS
Alterations to this constitution may be made only after Notice of Motion of the alteration has been sent to all members at least one month prior to any Annual General Meeting, by vote of 2/3 majority of all members present at that meeting.
- DISOLUTION CLAUSE
The Calvary Christian Colleges Parents and Friends is a non-profit, income tax exempt organisation. As such, a non-profit and dissolution clause shall be as follows:
- The assets and income of the Calvary Christian Colleges Parents and Friends shall be applied solely to the fulfilling of the objectives listed in the Mission Statement and no portion shall be distributed directly to members of the Calvary Christian Colleges Parents and Friends except as bona-fide compensation for services rendered or expenses incurred on behalf of the Calvary Christian Colleges Parents and Friends.
- In the event of the Calvary Christian Colleges Parents and Friends being dissolved, the amount, which remains after such dissolution and satisfaction of all debts and liabilities, shall be paid and applied by the Committee in accordance with their powers to Calvary Christian College which is a non-profit organisation.
